Role description - Groups Secretary

Role title: Groups Secretary
Accountable to: BSI Board of Trustees 
Responsible for: BSI Regional & Affinity Groups
Term of office: Four years

Scope and purpose 

The Groups Secretary plays a key role in the strategic development of the BSI Regional & Affinity Groups and supports the review of travel grants as needed.

General responsibilities

The Groups Secretary will work closely with the BSI Board, staff and the Chief Executive to develop the BSI Regional & Affinity Groups network and programme of meetings and events. They will coordinate the review of meeting applications and bids for funds, working closely with the BSI team and will also take part in the review of travel grants as needed.

Duties of the Groups Secretary

  • Liaise with the membership to further develop the Groups' network and activities
  • Liaise with the BSI Staff and, as necessary, the Groups themselves, to enable the Groups' network to support delivery of the BSI’s wider strategic priorities
  • Review and approve or request revisions to applications for one-off meetings and all meeting and event activity from Regional and Affinity Groups
  • Reviewing the group annual reports
  • Oversee the annual bid for funds in liaison with the Finance Director and Director of Events and Training
  • Review applications for travel grants as needed
  • Chair the Regional an Affinity Groups' Annual Meeting in an effective and efficient manner 
  • Chair specialist sub-groups where needed in specific areas
  • Promote the principles of our BSI Diversity & Inclusion framework 
  • Attend the AGM and one Board meeting per year, as requested

Groups Secretary Person Specification

  • The post holder must be a current member of the BSI and resident in the UK
  • A demonstrable commitment to the Society and to immunology
  • First-hand experience of BSI Regional and Affinity Group matters
  • Awareness of the breadth of interests of the membership 
  • Have an excellent overview of key areas of and developments in immunology
  • Skills to analyse meetings proposals and examine their financial consequences
  • Willingness to be available to staff at short notice and on an ad-hoc basis
  • Must be willing to contribute to the BSI’s strategic vision and lead on the generation of ideas and their development, with support from BSI staff
  • High levels of credibility and respect in immunological communities
  • Strong leadership skills
  • Ability to work collaboratively with staff and external partners
  • A willingness to engage with members, act as an ambassador for the BSI and promote its values and purpose
  • Adhere to and promote the BSI Code of Conduct
  • Aligned with the BSI values – ambitious and committed; evidence-based and responsible; collaborative and inclusive; agile and energetic
  • A commitment to represent immunology in its broad interests rather than a personal viewpoint, and to ensure that the Society acts on behalf of all its members
